Transparent Use of Artificial Intelligence (AI)
REINVENTIS uses modern technologies, including artificial intelligence (AI), in our internal and administrative processes to improve the quality, efficiency, and traceability of the services we provide to our customers.
AI is used solely for support purposes.
Human expertise, professional experience, and personalized advice remain the foundation of our services.
How We Use AI
AI systems can be used in particular for:
- Research and Information Processing
- Drafting texts, reports, and presentations
- Organizing and Summarizing Information
- Analysis of Large Volumes of Documents
- Knowledge Management
- Automation of Administrative Processes
- Support with project and process management tasks
The specific assignment is always carried out within the scope of the respective contract and exclusively to support our employees.
What We Don't Use AI For
REINVENTIS does not make decisions about customers based solely on automated processes.
In particular, the following are not performed solely by AI:
- legal assessments with binding effect,
- Investment or purchasing decisions,
- Contract decisions,
- Consulting decisions,
- Credit ratings,
- Evaluations or ratings of individuals,
- Decisions with legal or similarly significant implications.
All key results are reviewed and approved by qualified personnel.
Human oversight
Every AI-supported work process is subject to appropriate human oversight (“human-in-the-loop”).
Before using or disclosing work results, the following steps are taken in particular, depending on the nature and risk of the specific use case:
- Validation checks,
- Quality controls,
- technical reviews,
- legal reviews,
- Approvals by the responsible employees.
REINVENTIS retains responsibility for all customer services at all times.
Data Protection and Confidentiality
The protection of personal data and confidential information is a top priority for REINVENTIS.
When using AI systems, we pay particular attention to the following:
- the General Data Protection Regulation (GDPR),
- Regulation (EU) 2024/1689 on Artificial Intelligence (EU AI Act),
- statutory confidentiality obligations,
- contractual confidentiality agreements,
- internal information security and compliance requirements.
Personal data is processed only if there is a legal basis for doing so and appropriate technical and organizational safeguards are in place.
REINVENTIS's internal compliance system provides for audits related to data protection, role models, transfers to third countries, and documentation, among other things.
Quality Assurance
AI systems can generate content that is incorrect, incomplete, or inaccurate.
For this reason, we do not rely exclusively on AI-generated results. All essential content is reviewed by experts and corrected as necessary before it is used.
Our customers do not receive unverified AI results.
Use of Artificial Intelligence (AI)
Transparency with Our Customers
Upon request, we inform our customers that,
- whether AI was used in a project,
- for what purpose AI was used,
- what organizational safeguards are in place,
- how human oversight and quality assurance are carried out.
To the extent that statutory transparency requirements apply, we comply with them in accordance with the applicable regulatory requirements.
The European Commission has published guidelines on transparency requirements for certain AI systems.
